Practice Administrator

Harpeth Pediatrics is seeking an experienced, organized, and proactive Practice Administrator to oversee the daily operations of a thriving pediatric practice. The ideal candidate will combine strong leadership, operational management, and billing/coding expertise to ensure smooth workflows, compliance, financial success, and excellent patient service.

This role is essential in supporting clinicians, managing staff, optimizing revenue cycle processes, and maintaining a high-quality patient experience.

Key Responsibilities

Practice Operations

  • Oversee daily administrative and operational functions of the pediatric practice
  • Develop, implement, and improve office systems, website, workflows, and policies

Billing, Coding & Revenue Cycle

  • Supervise insurance billing, coding, claims submission, and collections
  • Monitor accounts receivable, denials, and reimbursements
  • Audit charts and claims for compliance and revenue optimization

Financial Management

  • Track budgets, expenses, payroll coordination, and revenue reports
  • Prepare monthly, quarterly and annual financial and performance reports for Physicians
  • Identify opportunities to improve profitability and efficiency

Staff Management

  • Manage staffing levels, productivity, and workload distribution
  • Conduct hiring, onboarding, and ongoing staff training
  • Provide performance feedback and coaching to team members
  • Manage timekeeping and payroll processes

Patient Experience & Scheduling

  • Oversee scheduling systems, intake, and patient communications
  • Supervise patient verification of benefits and collections at time of service
  • Ensure patient concerns are resolved promptly and professionally

Compliance & Risk Management

  • Maintain policies related to privacy, documentation, and clinical operations
  • Ensure compliance with HIPAA, OSHA, payer requirements, and state regulations

Minimum Qualifications

  • 3 - 5 years’ experience in medical practice administration
  • Strong background in medical billing and coding
  • Experience with insurance verification, A/R management, and denial resolution
  • Knowledge of HIPAA, compliance standards, and healthcare regulations
  • Leadership and staff management experience
  • Excellent organizational, communication, and problem-solving skills
  • Proficiency with EHR/EMR systems and practice management software
  • Financial reporting and budgeting experience
  • Proficient in standard office software, including  Excel and Word
  • Proficiency with financial management software (ex: QuickBooks)
  • Bachelor’s or Master’s degree
  • CMPE or FACMPE

Preferred Qualifications

  • Knowledge of pediatric billing and coding (CPT, ICD-10, modifiers, payer rules)

RN, LPN, or Medical Assistant

Job description
Full-time, Part-time and PRN RN, LPN, and Medical Assistant positions available. Responsible for rooming/working up patients, triaging patient phone calls, assisting providers in performing office examinations by gathering patient information, maintaining quality chart documentation, administering prescribed medications, and performing a variety of clinical laboratory tests.

• Ability to administer vaccines
• Ability to draw blood on small children
• Ability to catheterize infants and children
• Strong communication skills—with physicians, other nurses, and patients
• Computer competency and an adaptability to an electronic medical records system
• Accuracy in record-keeping
• Organizational skills
• Ability to multi-task and function under stress

One to two years of experience in a pediatric or other physician office is preferred.
